This Notice is for students undertaking taught programmes delivered by Bournemouth University’s Department of Computing & Informatics ("the Department") and explains how and why Bournemouth University ("BU" / "we" / "our") will process personal information relating to your attendance at scheduled teaching sessions and tutorials, whether face-to-face or virtually, for the purpose of monitoring your engagement with your studies.
The type of personal information we collect
We will collect and process the following information using the Department’s online study progress system (the "System"):
- Your BU Student Email Address
- Timestamped session attendance
- Device Location Data (For Verification Only)
How we obtain this personal information and why we collect it
All the personal information collected by this System is provided by you or previously generated by BU as stated in BU’s Student Privacy Notice Section 2: When and how we collect your data. BU’s Student Privacy Notice can be found at https://www.bournemouth.ac.uk/about/governance/access-information/data-protection-privacy/student-privacy-notice.
All BU students are required to engage with their programme of study and the Department considers monitoring attendance at relevant teaching sessions and tutorials as a good indicator of engagement and will help us to ensure you progress with your studies. The Department will use information about your location and attendance for the following purposes:
- to create and retain records relating to your academic attendance
- to effectively monitor your engagement with your course
- to verify the accuracy and legitimacy of attendance data submitted
The Department may share this information with wider University teams for the purposes of updating your student record with attendance and engagement information.
The information will be used as necessary to apply BU’s policy 3K (Engagement, Monitoring and Withdrawal Procedure). Where there are concerns about your attendance, staff from the Department may contact you to check whether support or advice is required. This will be done in line with BU’s policy 5D (Personal Tutor Policy).
Aggregated data about attendance at teaching sessions will be used to inform the management and delivery of the Department’s programmes, in particular students’ attendance/engagement with scheduled teaching and other mandatory tutorial sessions. The online study progress system, the Department’s approach to monitoring attendance and its use of the data will be used to inform BU’s learning analytics project which is in the early stages of development.
Under the Data Protection Act 2018 and the retained EU law version of the General Data Protection Regulation (GDPR), the lawful basis we rely on for processing this information are:
- We have a contractual obligation – Collection and processing of this data is necessary for the performance of the contract between you and BU.
- We need it to perform a public task – Collection and processing of this data is necessary for the performance of BU’s core public task, i.e. delivery of higher education and research.

How we store your personal information
Your information is securely stored on BU’s Database Servers managed by BU’s IT Services.
We will keep information about your attendance until you complete your programme of study and for a reasonable period after that based on the general principles stated in the Student Privacy Notice Section 7: Retention.

Please see Section 8 of BU’s Student Privacy Notice for information about your rights in relation to how we process your personal information and how to exercise such rights.
